About the Role:
As the Assistant Facilities Project Manager, you will work closely with the Director of Capital Development and Property Management (DOC) with a focus on single family home renovation, preventative maintenance projects, vendor management, and unit turnover. The university owns 73 single family homes that are utilized as student, staff and faculty housing and offices. This role assists the DOC, who oversees the properties, in maintaining property quality, coordinating and monitoring contracted services, managing the bidding process, and ensuring the quality of services provided.
What you will be doing:
Project Management
Plan and manage capital projects and other facilities projects ranging from minor to major work.
Perform annual property inspections and create punch lists for work performed.
Prepare project-related bid documents, contracts, and purchase orders.
Assist in budget preparation, cost control and expense tracking.
Evaluate needs for contracted maintenance services and assist in the selection of contractors.
Ensure all safety and health rules, standards, and procedures are observed; conduct regular self-inspections of work areas and practices to eliminate potentially hazardous conditions
Conduct site visits with vendors to assess service quality and develop relationships.
Monitor and report on the performance of contracted services.
Coordinate and communicate with stakeholders regarding repair timelines.
Vendor Management
Support the DOC by developing request for proposals and soliciting bids for various services.
Prepare and administer vendor contracts.
Oversee vendor performance and ensure timely completion of contracted work for routine work (pest control, laundry services, landscaping) and renovations.
Maintain open communication with vendors through regular check-ins.
Act as an escort for outside vendors who conduct work in occupied student spaces.
Coordinate, facilitate, and triage emergency services or repairs with other university staff.
Interdepartmental Collaboration

Supports logistical team with lifting and moving furniture.
Administrative and Reporting
Maintaining accurate and up-to-date records, documents, and project files.
Document project outcomes, products and systems in database.
Assist in budget preparation and financial management for property maintenance and improvements.
Maintain accurate records of all rehabilitation work, vendor contracts, and unit turn activities.
Create comprehensive project reports documenting progress, milestones, and issues.
What We’re Looking For
Highschool diploma or equivalent required; some college preferred.
Strong organizational and time management skills.
Ability to manage multiple projects.
Excellent communication and interpersonal abilities.
Proficiency in basic computer skills that includes MS office and google workspace.
Prior experience in property management, residential repair, project management or construction preferred.
Excellent attention to detail.
Proficient in the written word.
Ability to respectfully work, communicate and provide leadership within a diverse campus community.
What’s in it for you:
University of Puget Sound offers a comprehensive compensation and benefit package. The anticipated annual base salary range for this position is $80,000 – $90,000 based on experience.
